The Trustees volunteer their time and services to provide direction for Stewards Foundation. In order to do this in an efficient and meaningful way, the Board generally meets 6 times during the year at 6 to 8 week intervals.
Twice a year, the Board meets in person. The Semi-Annual Board Meeting is held each spring to address general Stewards Foundation business, like loan requests and membership matters. The upcoming fiscal year’s budget is reviewed and approved at this meeting.
The Annual Board Meeting is held each fall to elect new officers, review committee assignments and select upcoming in-person meeting sites. Each Trustee signs Stewards Foundation’s Statement of Faith, Service Guidelines, Conflict of Interest Policy and Confidentiality Agreement at this meeting.
A Special Board Meeting is convened the day before the Annual Board Meeting. At this meeting the Board reviews and approves Stewards Foundation’s annual audited financials, reviews the previous fiscal year’s expenses verses budget and the investment policy and allocation. The annual gift to commended workers in the Health Care Assistance Program (HCAP) is determined at this meeting. General business such as loan applications and membership matters may also be addressed.
The remaining Special Meetings are held via teleconference typically for general Stewards Foundation business, such as membership applications and loan requests. These meetings are scheduled in advance and put on a Meeting Calendar so Trustees can arrange their schedules accordingly. However, a meeting will not be held if there is insufficient business to warrant convening the Board.
A minimum of 30 days is required to properly process a loan application and provide the Board sufficient time to review the information prior to a meeting. Loan requests will only be placed on a meeting agenda if the application is received in the Stewards Foundation office 30 days in advance of a scheduled meeting.
